A debtor cannot be found when creating an invoice

Four settings that hide a debtor from the invoice lookup, and where each one lives.

If a customer exists in AutoCount but does not appear when you create a sales document, one of these is the reason.

  1. The debtor is inactive. Open A/R → Debtor Maintenance, find the debtor and tick Active. Inactive is normally set on purpose to stop further sales to that customer.
  2. The account is a group company. In Debtor Maintenance the Group Company box marks a control account, and control accounts cannot be invoiced. Create a normal debtor under it for invoicing.
  3. It was created as a GL account, not a debtor. Accounts made in G/L → Account Maintenance never appear in sales documents. Create the customer in A/R → Debtor Maintenance instead.
  4. Filter by sales agent is on. With the Filter by Salesman module, a user may be limited to their own customers (Tools → Options → apply filter by agent in lookup editor). Either assign the debtor to that agent or lift the filter for the user.

Tip. Check the four in this order; the first two account for most cases.
